Privacy Policy

Tutoring Tracker ("the app", "we", "us") is a tool for private tutors to record their students, tutoring sessions, hours and payments. This policy explains what data the app handles and how it is protected.

Who the app is for

The account holder is a tutor. The tutor enters information about their own teaching, including details of the students they teach. The app is a personal record-keeping tool and is not directed to children.

Information we collect

Account information — your email address and password, used to create and secure your account and to sign you in.
Records you enter — information you choose to add about your students and lessons, which may include a student's name and phone number, and lesson details such as dates, hours, courses, prices and payment status.
Your schedule — the weekly lesson plan you build, changes you make to individual dates, one-off lessons, the clock time of a lesson you log, and any regular commitments you block out (for example a day job or lectures).
App preferences — small settings such as your timetable hours, 12/24-hour display, light or dark theme, and whether the daily reminder is switched on and at what time.

The app does not collect your location, contacts, photos, device identifiers for advertising, or any payment-card details. Tutoring Tracker contains no third-party advertising and does not sell your data.

Email verification

When you create an account we send a message to your email address so you can confirm it belongs to you. This protects your records from someone signing up with an address that is not theirs. We also send a message if you ask to reset your password. These are the only emails the app sends you; there are no marketing emails.

Reminders and notifications

If you switch on the daily reminder, the app schedules a notification on your own device at the time you choose. The reminder is generated locally by your phone — no notification service is involved, and nothing about your lessons leaves your device to produce it. You can turn it off at any time in the app, or in your device's notification settings.

How the information is used

To provide the core features — storing and displaying your students, sessions, schedule, analytics, invoices and reports.
To confirm your email address when you sign up, and to let you reset your password.
To authenticate you and keep your data separate from other tutors' data.

Where the data is stored

Your data is stored securely using Google Firebase (Authentication and Cloud Firestore). Data is transmitted over encrypted connections (HTTPS/TLS) and is stored under your account so that only you can access it after signing in. Firebase is operated by Google; see Google's Firebase privacy information.

Sharing

We do not share your data with third parties, except the infrastructure provider (Google Firebase) that stores it on our behalf, and where required by law. Any invoice or report PDF you generate is created on your device and shared only when you choose to share or send it.

Data retention & deletion

Your data is kept for as long as your account exists. You can delete individual students and records at any time inside the app. To delete your entire account and all associated data, open Settings → Profile → Danger zone → Delete account in the app and confirm with your password. The deletion happens immediately and cannot be undone. If you are locked out and cannot sign in, email us at the address below from your account email and we will delete it for you.

Children's privacy

The app is intended for use by tutors (adults) and is not directed to children under 13. We do not knowingly create accounts for children.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the date at the top of this page.
